Terms Of Service

360 Wraparound Ltd & 360 Vision CIC

Introduction

Please read these Terms of Service carefully before making a booking.

These Terms apply to all children’s activities delivered by 360 Wraparound Ltd and 360 Vision CIC, including but not limited to wraparound care, after-school clubs, holiday camps, enrichment sessions, events, courses and funded programmes (each an “Activity”).

Activities may be booked via our website, directly with our team, through a school, or via a funded programme such as HAF.

By booking a place with us, you confirm that you accept these Terms of Service and that a legally binding agreement is formed between you and 360 Wraparound Ltd / 360 Vision CIC.

No other terms apply unless agreed in writing.

Your Account

You must be aged 18 or over to make a booking.

You agree to provide accurate and up-to-date contact, medical and emergency information for your child. This must be updated if anything changes.

You are responsible for keeping your login details secure and for all bookings made using your account.

We reserve the right to suspend or withdraw services where there are serious concerns, unpaid fees, or breaches of these terms.

Booking Activities

All sessions must be booked in advance.

Places are limited and allocated on a first-come, first-served basis. A booking is only confirmed once:

  • payment is received, or
  • a funded place is confirmed.

We cannot guarantee spaces without a confirmed booking.

Parents must ensure:

  • the child meets the age/participation criteria
  • all registration information is complete
  • medical and additional needs are disclosed

Payments

We accept:

  • debit/credit card
  • tax-free childcare
  • childcare vouchers
  • funded programme places where applicable

Full payment is required at the time of booking unless otherwise agreed.

If payment is not received, we reserve the right to cancel or suspend the place.

Persistent unpaid balances may result in bookings being withdrawn.

Funded Places (HAF / School / Community)

Funded places must still be booked in advance using the correct code or referral process.

Failure to attend without notice may result in the funded space being withdrawn so it can be offered to another child.

Changes & Cancellations

Within 14 days of booking

You have the right to cancel within 14 days of booking under consumer regulations, unless the session has already taken place.

 

After 14 days

We do not offer refunds for missed sessions outside of this period, except where required by law.

Where possible, we may offer transfers or credits at our discretion, but this is not guaranteed.

 

Session Changes

Changes to bookings may be possible with at least 24 hours’ notice and subject to availability.

Late Collection

Children must be collected on time.

Late collection affects staffing and site hire. A late collection fee may apply.

If a child is not collected:

  • we will attempt contact with parents and emergency contacts
  • if we cannot reach anyone, safeguarding procedures will be followed

Persistent late collection may result in the place being withdrawn.

Programme Changes

We reserve the right to make changes to venues, staffing or activities where required for safety or operational reasons.

If a session is cancelled by us due to circumstances beyond our control (e.g. severe weather, school closure), we will offer:

  • an alternative session, or
  • a credit/refund where appropriate.

Health & Safety

We carry out risk assessments for all activities.

Parents must provide accurate medical and dietary information and ensure emergency medication is supplied where required.

Children who are unwell should not attend.

We reserve the right to refuse attendance where safety requirements are not met.

Safeguarding

Safeguarding is our highest priority.

All staff:

  • are DBS checked
  • receive safeguarding training
  • follow safer recruitment procedures

We follow statutory safeguarding guidance and have a duty to report concerns to relevant authorities where necessary.

Behaviour & Inclusion

We aim to provide a safe, inclusive and positive environment.

Children are expected to:

  • show respect
  • follow safety rules
  • support others

We work with families to support behaviour. In rare cases where safety or wellbeing is affected, we may withdraw a place.

We strive to include all children. Where additional support is required, we will work with families and partners to explore reasonable adjustments.

Collection Procedures

Children must be registered in the presence of  an authorised adult. Where this is not possible or relevant children

We operate a secure collection system. Children will only be released to authorised contacts.

Photography & Media

We may take photos for displays, reports and promotion.
No images will be used publicly without consent.

Personal Belongings

Children should not bring valuables. We cannot accept responsibility for lost or damaged items.

Complaints

We welcome feedback and aim to resolve concerns quickly.

Insurance

We hold appropriate public liability and employer’s liability insurance.

Legal

If any part of these Terms is unenforceable, the remaining terms remain valid.

These Terms are governed by English law.

Agreement

By booking with 360 Wraparound Ltd or 360 Vision CIC, you confirm you have read and accepted these Terms of Service. 360 is more than childcare — by booking with us you’re joining a safe, active and supportive community.
